Job Purpose:
Reporting to the Assistant Director of Operations, the Coordinator of Guest Relations is responsible for detailed, accurate and timely entry of applications in the Admissions Office. This person deals directly with inquiries and applicants on Banner. Manage, organize, and maintain Admission files as directed and perform data entry as needed. Coordinate and maintain updates on admissions website, perform administrative duties as needed for office budget and assist in the hiring, selection and training of student employees. Assist in the coordination of all inquiry and application communications.
Duties and Responsibilities (Essential Functions):
- Develop an understanding of the enrollment process at Christian Brothers University and actively participate in that process.
- Assist in the management of student employees and direct work flow. Manage two direct report student employees.
- Become proficient on Banner. Enter and or upload new applications each week for Admissions.
- Serve as back up on generating weekly stat reports.
- Assist in internal mailings and help to insure proper execution.
- Assist with inquiry mailings and search fulfillment mailings for a three year search cycle.
- Coordinate all campus visits and guest relations. This includes taking visit requests, scheduling faculty, staff and students for tours, getting visitor packets ready, greeting visitors and sending confirmations to families in timely manner.
- Maintain effective communication with the Departments of Financial Aid, Registrar, Information Technology and the Business Office.
- Serve as assistant website coordinator to make changes to admissions pages. Become proficient with content management software.
- Perform front desk operations as needed. This may include answering phones, administrative help as needed for the Dean of Admissions.
- Scan transcripts into Banner for applicants. Assist in management of search downloads and banner web application.
- Other duties as assigned by the Assistant Director of Operations or Dean of Admissions.
Job Qualifications/Requirements:
- Proficiency with Microsoft Office required.
- Previous Banner experience highly desired.
- A valid Drivers license is also required.
Working Conditions:
Full time, M-F, 8:00 am- 4:30 pm, Office Setting
